This Privacy Policy explains how HoverLayer LLC ("HoverLayer," "we," "us," or "our") collects, uses, stores, and protects information when you use MileBooks, our mileage, expense, receipt, and financial organization application.
By using MileBooks, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with this policy, please do not use the application.
1. Information We Collect
We may collect the following types of information:
- Account information: such as your name, email address, login credentials, and account settings.
- Mileage and trip information: such as trip dates, distance, business or personal classification, and related notes.
- Expense and receipt information: such as expense amount, category, date, business purpose, notes, and receipt images or file URLs you choose to upload.
- Bank-connected financial data: if you choose to connect a financial account through Plaid, we may receive account names, account types, balances, transaction history, merchant names, transaction dates, amounts, and categories.
- Technical information: such as browser type, device information, IP address, log data, and application usage information used to maintain security and improve the service.
2. Plaid and Bank Account Connections
MileBooks may allow you to connect financial accounts through Plaid. Plaid is a third-party service that enables secure connectivity between your financial institution and our application.
We do not collect or store your bank username or password. When you use Plaid Link, your credentials are provided directly to Plaid or your financial institution, not to MileBooks. We use the financial data received through Plaid only to provide features such as transaction import, expense organization, business or personal categorization, recurring bill detection, and tax-ready reports.
Your use of Plaid is also subject to Plaid's privacy practices and applicable terms. You may disconnect your bank account from MileBooks or request deletion of your data by contacting us.
3. How We Use Information
We use collected information to:
- Provide and maintain the MileBooks application.
- Track mileage, trips, expenses, receipts, and financial records.
- Import and categorize bank transactions when enabled by you.
- Generate summaries, dashboards, exports, and tax-ready reports.
- Authenticate users and protect accounts from unauthorized access.
- Improve application performance, reliability, and user experience.
- Respond to support, privacy, security, or compliance requests.
- Comply with legal, tax, accounting, security, or regulatory obligations.
4. How We Share Information
We do not sell your personal information. We may share information only as needed to operate, secure, and support the application, including with trusted service providers such as hosting providers, database providers, payment processors, email providers, file storage providers, and Plaid for bank connectivity.
We may also disclose information if required by law, legal process, regulatory request, or to protect the rights, safety, and security of HoverLayer, our users, or others.
5. Data Security
We use administrative, technical, and organizational safeguards designed to protect user information. These safeguards may include HTTPS/TLS for data in transit, restricted administrative access, environment-based secret management, source-control exclusions for sensitive files, and managed infrastructure security controls.
No method of transmission or storage is completely secure. We continue to improve our security practices as the application matures.
6. Data Retention
We retain information for as long as needed to provide the application, comply with legal or tax-related obligations, resolve disputes, enforce agreements, and maintain business records. You may request deletion of your account or data, subject to legal or operational retention requirements.
Free accounts may be subject to product storage limits, including a limit of up to 50 active trips. If a free account reaches a storage limit, MileBooks may prevent additional records from being added unless records are deleted or the account moves to a paid plan.
7. Your Choices and Rights
Depending on your location, you may have rights to:
- Access the personal information we maintain about you.
- Correct inaccurate or incomplete information.
- Request deletion of your account or certain data.
- Disconnect a financial account connected through Plaid.
- Object to or restrict certain processing activities.
- Request a copy of your data where applicable.

8. Children's Privacy
MileBooks is not intended for children under 13 years old. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us so we can take appropriate action.

We may update this Privacy Policy from time to time. When we make changes, we will update the "Last updated" date above. Continued use of the application after changes means you accept the updated policy.
